Meeting Room Usage

1.0 Purpose:
  • The purpose of this policy is to establish criteria related to the use of library meeting room(s) at the DeSoto Public Library (DPL). Meeting Rooms in the DeSoto Public Library are primarily intended to provide space for library programs, events and meetings. When the library or other City Department is not using these spaces they are available for use on a limited basis. As a public space the public and/or employees of the City of DeSoto may attend any event.

2.0 General Information:
  1. Meeting rooms can be reserved for 4 hour sessions.
  2. Customers must use a valid DeSoto Public Library card (adult) to make a reservation.
  3. Customers will make reservations in person at the Information Desk. The customer will need to fill out the request for a meeting room usage form. If changes to the desired time and/or date need to be made they must be done so in person.
  4. Permission to use the meeting room shall not, in any way, constitute an endorsement of the group, its policies or activities, by the library or the City of DeSoto
  5. Requests for recurring daily reservations or reservations for extended use (duration of more than 4 hours) must be approved by the Library Director.
  6. Solicitation or sales of products and services is prohibited. Charging fees or selling items on the premises is not allowed. Charging fees for attendance or a requirement to purchase materials is not allowed.
  7. DeSoto Public Library meeting rooms are intended to accommodate activities such as discussion groups, panels, lectures or meetings. The DeSoto Public Library’s mission is to assist residents in their pursuit of information and resources to meet their educational, cultural, recreational and professional or vocational needs. Social events such as parties, showers, family reunions and weddings are not permitted.
  8. Meeting rooms are only available for use during hours indicated on the request form.
  9. DPL has the right to limit the number of hours an organization can use the meeting room.

3.0 Use Policies:
Following are meeting room use policies:

  1. The Library will not provide projectors or other electronic equipment.
  2. Reservations will be revoked if DPL determines that meeting room use is not in compliance with this policy, or if a group causes damage or a disturbance.
  3. Disruptive behavior or group activities which may cause a disruption to regular library operations will lead to a loss of immediate access to meeting room(s).
  4. Chairs and tables are provided by the library, but set up and tear down is the responsibility of the user. No linens are available.
  5. The Library does not provide personnel to assist in technical support, room set up or take down or other materials needed by groups using a meeting room. DPL also does not provide extension cords, easels or sign holders, white boards, or dry erase boards. The library will not supply copies.
  6. Nails, tape, thumbtacks, or other fasteners to the structure or to the furnishings may not be used. Candles are not permitted.
  7. Use of tobacco products and consumption of alcoholic beverages is not permitted.
  8. Room temperature is not controlled by library staff, so please dress to accommodate temperature variations.
  9. Room use must be under the direct supervision of the adult making the reservation or designated adult representative as stated on the agreement.
  10. Organizations meeting in the Library shall not use the Library’s mailing address or telephone number to conduct business.
  11. Any printed or electronic publicity or marketing materials that include the Library’s name and address must include the disclaimer: “This event is not sponsored by the DeSoto Public Library or the City of DeSoto”
  12. The Library reserves the right to refuse any reservation request.
  13. No programs are allowed that would cause disruptive noise or vibrations outside the reserved room.
  14. For meetings near the end of the library operating day, users must complete all cleanups, tear down and vacate the room 10 minutes before the end of the reservation.
  15. Set up and tear down need to occur during the period in which the room is reserved.
  16. Food and beverages (except alcohol and tobacco products) are allowed – but the room will need to be left clean.
  17. If room is not left clean or undamaged the library can deny any future reservations for use.
  18. Reservation for meeting room form must be complete to be reviewed by and approved by library administration. Notice will be given within one business day of approval status. Applications need to be made 72 hours before the scheduled event and can be booked no more than one month in advance.
